Inventory

The “Inventory” submenu includes reports related to a clinic’s inventory. By default, the inventory module is deactivated in the system, you must have administrative privilege to activate it using the Globals in the Administration menu.

Activating Inventory Module

To enable the Inventory Module, it must be activated using the option in Administration/ Globals menu (see the numbered steps in the image below):

1. From the main menu choose Administration/ Globals.

2. Select the Features tab from the Edit Global Settings page.

3. Next to "Drugs and Products" select any of these settings according to your preferences (inventory and sell drugs only, inventory and sell both drugs and non-drugs products, products but no prescription drugs and no template) to enable the inventory module.

4. Click "Save" button at top of that screen.

Inventory Reports

When the Inventory Module is activated, the “Inventory” menu item will appear in the left of the navigation menu, and the “Inventory” submenu will appear in the “Reports” menu.

This “Inventory” submenu includes three types of reports related to the inventory, as shown in the image below:

Inventory List Report

The Inventory List report will show the inventory used for the past specified period.

To access the “Inventory List” module and generate reports:

1. Select “List” from the Inventory submenu, which will open a tab called “Inventory List.”

2. Enter the desired search criteria in the following form:* Enter the desired number of days to be searched.

  • Select “Submit” button to display the results.

3. The results are displayed in a table with the all the information for the drugs inventory.

Select “Print” button if you want the results to be printed out.

Inventory Activity Report

The Inventory Activity report will show the activity by product or location, over the past specified period.

To access the “Inventory Activity” module and generate reports:

1. Select “Activity” from the Inventory submenu, which will open a tab called “Inventory Activity”.

2. Enter the desired search criteria.* Choose whether you are searching by a specific product or warehouse.

  • Select “From” and “To” dates
  • Choose a product name from the “For:” drop-down list.
  • Select the “Submit” button to display the results.

3. The results are displayed in a table with counters for drug sales, distribution, adjustments, purchases and transfers.* Select the “Print” button to print the results, or the “CSV Export” button to output the results into a CSV file.

Inventory Transactions Report

The Inventory Transactions report will show the inventory transaction type and time period.

To access the “Inventory Transaction” module and generate reports:

1. Select “Transactions” from the Inventory submenu, which will open a tab called “Inventory Transactions”.

2. Enter the desired search criteria.* Choose the transaction type from (Purchase/Return, Sale, Distribution, Transfer, Adjustment, or All).

  • Select “From” and “To” dates.

3. The results are displayed in a table.* Select the “Print” button to print the results, or the “CSV Export” button to output the results into a CSV file.

Procedures

The ‘Procedure’ submenu provides reports on all the medical procedures ordered by a provider, which are managed by the ‘Procedures’ module.

The image below shows the available report types available within the “Procedures” section.

You must login as Physician or as user who is privileged to see the Procedures Report results. Other staff will not have the ability to do so.


Pending Orders Report

The Pending Orders report will display a list of all procedures which have been ordered but with no results yet.

To access the “Pending Orders” module and generate reports:

1. Select “Pending Orders” from the Procedures submenu, which will open a tab called “Pending Orders”.

2. Enter the desired search criteria.

  • Choose a facility from the drop-down list
  • Select “From” and “To” dates
  • Select the “Refresh” button to display the results

3. The results are displayed in a table.

  • Select the “Export to CSV” button to output the results into a CSV file.
  • Click the “Print” button to print the results

Procedures Statistics

The Procedures Statistics report will display statistics on distribution of multiple criteria in procedure results.

To access the “Procedures Statistics” module and generate reports:

1. Select “Procedures Statistics” from the Procedures submenu, which will open a tab called “Procedures Statistics Report”.

2. Enter the desired search criteria.

A. From the “Rows” drop down list, choose Specific Results or Followups Indicated.
B. Select the desired criteria from the following filters:
  • From the “Sex” drop-down list, choose to display for “Men and women”, “Women only”, or “Men only”
  • From the “Facility” drop-down list, choose the facility name
  • Select “From” and “To” dates
C. Select what columns to show, and then click the “Submit” button to display the results.

3. The results are displayed in a table according to your criteria.

  • Select “Export File” option to output the results into a CSV file
  • Click the “Printer” option to print the results

The procedure module is highly specialized and not used in most facilities. Instructions on how to configure and use it will be found in the tutorials dedicated to the ‘Procedures’ module.

Insurance

The “Insurance” submenu includes reports related to patients’ insurance usage. The image below shows the available report types available within the “Insurance” section.

Patient Insurance Distribution

The “Patient Insurance Distribution” report calculates how many patients have been seen between a specified period of time and displays the insurance companies they’re subscribed to and their account charges.

To access the “Patient Insurance Distribution” module and generate a report:

1. Select “Patient Insurance Distribution” from the Insurance submenu, which will open a tab called “Report – Patient Insurance Distribution.”

2. Enter the desired search criteria (1).

  • Select “From” and “To” dates
  • Select the “Submit” button to display the results (2)

3. The results are displayed in a table with insurance information and account statuses listed in the column headings to show a clinic’s patient insurance distribution.

  • Select the “Print” button to print the results and the “Export to CSV” button to output the results into a CSV file (3)

Indigent Patients

The “Indigent Patients” report generates a list of patients who were seen between a specified date range that have no insurance and displays their fees and account balance.

To access the “Indigent Patients” module and generate a report:

1. Select “Indigent Patients” from the Insurance submenu, which will open a tab called “Report – Indigent Patients.”

2. Enter the desired search criteria (1).

  • Select “Visits From” and “To” dates
  • Select the “Submit” button to display the results (2)

3. The results are displayed in a table with patient information and account charges listed in the column headings.

  • Select the “Print” button to print the results (3)

Unique Seen Patients

The “Unique Seen Patients” report generates a list of patients that have been seen between a specific date range and displays their demographic and insurance information.

To access the “Unique Seen Patients” module and generate a report:

1. Select “Unique Seen Patients” from the Insurance submenu, which will open a tab called “Report – Unique Seen Patients.”

2. Enter the desired search criteria (1).

  • Select “From” and “To” dates
  • Select the “Submit” button to display the results (2)

3. The results are displayed in a table with patient demographic and insurance information listed in the column headings.

  • Select the “Print” button to print the results and the “Labels” button to generate patient address labels from the results (3)

Blank Forms

The “Blank Forms” submenu includes printable forms that can be used for data collection and later the data can be manually entered into the EHR.

The image below shows the available report types available within the “Blank Forms” section.

Demographics

The “Demographics” report is a form that users can use to collect patient demographic information during the patient registration process, and the gathered information can later be manually entered into the EHR.

To access the “Demographics” module:

1. Select “Demographics” from the Blank Forms submenu.

2. A tab will open with the registration form.

  • Select a facility from the drop-down list next to “Facility” question within the form (2)

3. To print the form, manually print from the web browser being used.

Superbill/Fee Sheet

The “Superbill/Fee Sheet” report is a form that contains the basic visit CPT codes and any custom service codes that have been configured in the system. They correspond with what a provider enters into an encounter’s fee sheet.

To access the “Superbill/Fee Sheet” module:

1. Select “Superbill/Fee Sheet” from the Blank Forms submenu.

2. A tab will open with the Superbill/Fee form.

3. Select the “Print” button located after the form at the bottom of the window to print the results (1).

Referral

The “Referral” report is a generic referral form that can be used to refer patients to outside health organizations.

To access the “Referral” module:

1. Select “Referral” from the Blank Forms submenu.

2. A tab will open with the referral form.

3. After the tab opens, the browser’s print window will open to allow printing or saving the form.

Services

The “Services” submenu includes reports related to system maintenance functions.

The image below shows the available report types available within the “Services” section.

The “Services” module is not available for user access.
