Visits

The “Visits” submenu includes reports related to patient visit scenarios that occur within a clinical setting.

The image below shows the available report types available within the “Visits” section.

Appointments

The “Appointments” report generates a list of appointments that fit the entered search criteria.

To access the “Appointments” module and generate a report:

1. Select “Appointments” from the Visits submenu, which will open a tab called “Report – Appointments.”

2. Enter the desired search criteria (1).

  • Choose a facility name from the “Facility” drop-down list.
  • Choose a provider from the “Provider” drop-down list
  • Select “From” and “To” dates
  • Select an appointment status from the “Status” drop-down list
  • Select a calendar category from the “Category” drop-down list
  • Check the box next to “Show Available Times” and “Show Reminders” to include available appointment slots providers have and appointment reminders within the results, respectively
  • Check the box next to “Without Provider” and “Without Facility” to exclude provider and facility information, respectively
  • Select the “Submit” button to display the results (2)

3. The results are displayed in a table with patient appointment information listed in the column headings. Most column headings can be clicked on to change the sort order.

  • Select the “Print” button to print the results (3)
  • Select the “Superbills” button to generate Superbills from the results (3)
  • Select the “Address Labels” button to generate patient address labels from the results (3)

Patient Flow Board

The “Patient Flow Board” report narrows down patient encounters based on the input, functioning similarly to the Patient Flow Board. However, the difference between the two is that the “Patient Flow Board” reports outputs the results into a printable report format.

To access the “Patient Flow Board” module and generate a report:

1. Select “Patient Flow Board” from the Visits submenu, which will open a tab called “Patient Flow Board Report.”

2. Enter the desired search criteria (1).

  • Choose a facility name from the “Facility” drop-down list
  • Choose a provider from the “Provider” drop-down list
  • Select “From” and “To” dates
  • Select an appointment status from the “Status” drop-down list
  • Select a calendar category from the “Category” drop-down list
  • Search for and select a patient by clicking in the text box next to “Patient”
  • Select the box next to “Show Details” to show more patient encounter details for each appointment within the results
  • Select the “Submit” button to display the results (2)

3. The results are displayed in a table with patient and encounter information listed in the column headings. The column headings can be clicked on to change the sort order.

Encounters

The “Encounter” report generates a list of patient encounters a provider has seen that fit the entered search criteria.

To access the “Encounters” module and generate a report:

1. Select “Encounters” from the Visits submenu, which will open a tab called “Report – Encounters.”

2. Enter the desired search criteria (1).

  • Choose a facility name from the “Facility” drop-down list.
  • Choose a provider from the “Provider” drop-down list
  • Select “From” and “To” dates
  • Select the box next to “New” to include patient encounters with new patients
  • Select the box next to “Details” to include details about each patient encounter listed
  • Select the box next to “Forms Esigned” to include patient encounters that have their forms eSigned
  • Select the box next to “Encounter Esigned” to include patient encounters that have their encounter eSigned
  • Select the “Submit” button to display the results (2)

Patient Billing Encounter by Carrier

The “Patient Billing Encounter by Carrier” report generates a list of patient billing encounters based on the entered search criteria.

To access the “Patient Billing Encounter by Carrier” module and generate a report:

1. Select “Patient Billing Encounter by Carrier” from the Visits submenu, which will open a tab called “Report – Patient Billing Encounter by Carrier.”

2. Enter the desired search criteria (1).

  • Choose a facility name from the “Facility” drop-down list
  • Choose a provider from the “Provider” drop-down list
  • Select a primary insurance company form the “Primary Insurance” drop-down list
  • Select a status from the “Status” drop-down list
  • Select “From” and “To” dates
  • Select the “Submit” button to display the results (2)

3. The results are displayed in a table with patient encounter and insurance information listed in the column headings. The column headings can be clicked on to change the sort order.

Appointments and Encounters

The “Appointments and Encounters” report generates a list of patient appointments and encounters at a specific facility within a specific date range.

To access the “Appointments and Encounters” module and generate a report:

1. Select “Appointments and Encounters” from the Visits submenu, which will open a tab called “Report – Appointments and Encounters.”

2. Enter the desired search criteria (1).

  • Choose a facility name from the “Facility” drop-down list
  • Select “From” and “To” dates
  • Check the box next to “Details” to include more appointment and encounter details in the results
  • Select the “Submit” button to display the results (2)

Superbill

The “Superbill” report creates a Superbill for a specific patient within a period of time.

To access the “Superbill” module and generate a report:

1. Select “Superbill” from the Visits submenu, which will open a tab called “Report – Superbill.”

2. Enter the desired search criteria (1).

  • Select “From” and “To” dates
  • Search for and select a patient by clicking in the text box next to “Patient”
  • Select the “Submit” button to display the results (2)

3. The results are displayed in a table with patient billing information listed in the column headings.

  • Select the “Print” button to print the results and the “Export to CSV” button to output the results into a CSV file (3)

Eligibility

The “Eligibility” report creates an EDI 270 Eligibility Inquiry Batch report in table format or into a downloadable .txt file based on the input.

To access the “Eligibility” module and generate a report:

1. Select “Eligibility” from the Visits submenu, which will open a tab called “Report – Eligibility 270 Inquiry Batch.”

2. Enter the desired search criteria (1).

  • Select “From” and “To” dates
  • Choose a facility name from the “Facility” drop-down list
  • Choose a provider from the “Provider” drop-down list
  • Choose a Clearing House, also known as a X12 partner, from the “X12 Partner” drop-down list, which is required to create an EDI 270 batch
  • Select the “Refresh” button to display the results in a table below the search input form based on the input entered (2)
  • Select the “Create batch” button to create and download an EDI 270 file (.txt) based on the input (3)

Eligibility Response

The “Eligibility Response” report allows users to upload an EDI 271 file into the EHR.

To access the “Eligibility Response” module and generate a report:

1. Select “Eligibility Response” from the Visits submenu, which will open a tab called “EDI-271 File Upload.”

2. Select the “Choose File” button next to “Select EDI-271 file” to upload an EDI-271 Eligibility Response file in .txt format (1).

  • Select the “Upload” button to upload the EDI-271 file (2)

3. Afterwards, a message will be displayed stating whether the upload was successful or unsuccessful.

Claim Status Request

The “Claim Status Request” report creates an EDI 276 Claim Status Request Batch report in table format or into a downloadable .txt file based on the input.

To access the “Claim Status Request” module and generate a report:

1. Select “Claim Status Request” from the Visits submenu, which will open a tab called “Report – 276 Claim Status Request Batch.”

2. Enter the desired search criteria (1).

  • Select “From” and “To” dates
  • Choose a facility name from the “Facility” drop-down list
  • Choose a provider from the “Provider” drop-down list
  • Choose a Clearing House, also known as a X12 partner, from the “X12 Partner” drop-down list, which is required to create an EDI 276 batch

Chart Location Activity

The “Chart Location Activity” report generates list of locations of where a patient’s chart was at. It is extremely useful for practices that use paper charts in their workflow.

To access the “Chart Location Activity” module and generate a report:

1. Select “Chart Location Activity” from the Visits submenu, which will open a tab called “Report – Chart Location Activity.”

2. Enter the desired search criteria (1).

  • Enter a patient ID into the text box next to “Patient ID”
  • Select the “Submit” button to display the results (2)

3. The results are displayed in a table with time and destination information listed in the column headings to highlight the activity of a specific patient’s chart.

  • Select the “Print” button to print the results (3)

Charts Checked Out

The “Charts Checked Out” report generates a list of patient charts checked out in a clinic. It is extremely useful for practices that use paper charts in their workflow.

To access the “Charts Checked Out” module and generate a report:

1. Select “Charts Checked Out” from the Visits submenu, which will open a tab called “Report – Charts Checked Out.”

2. Any checked out charts will be displayed in a table with patient and location information listed in the column headings. If no charts are checkout, the following message will be displayed: “There are no charts checked out.”

Chart Tracker

The “Chart Tracker” report helps users find a specific patient’s chart and update a chart’s location. It is extremely useful for practices that use paper charts in their workflow.

To access the “Chart Tracker” module and generate a report:

1. Select “Chart Tracker” from the Visits submenu, which will open a tab called “Chart Tracker.”

2. Enter the desired search criteria (1).

  • Enter a patient ID into the text box next to “New Patient ID”
  • Select the “Look Up” button to display the results (2)

3. The results show a patient’s information and a chart’s current location.

  • To update a chart’s location, choose a location from the “Check In To” drop-down list or a provider from the “Or Out To” drop-down list, then click the “Save” button (3)
  • To search for another patient’s chart, enter a patient ID into the text box next to “New Patient ID,” then click the “Look Up” button (4)

Services by Category

The “Services by Category” report generates list of services based on its medical code categorization.

To access the “Services by Category” module and generate a report:

1. Select “Services by Category” from the Visits submenu, which will open a tab called “Report – Services by Category.”

2. Enter the desired search criteria (1).

  • Select a medical code from the drop-down lis
  • Check the box next to “Include Uncategorized” to include uncategorized services
  • Select the “Submit” button to display the results (2)

3. The results are displayed in a table with service category information listed in the column headings.

  • Select the “Print” button to print the results (3)

Syndromic Surveillance

The “Syndromic Surveillance” report creates a Syndromic Surveillance report for providers to use to identify non-reported issues patients may have.

To access the “Syndromic Surveillance” module and generate a report:

1. Select “Syndromic Surveillance” from the Visits submenu, which will open a tab called “Report – Syndromic Surveillance – Non Reported Issues.”

2. Enter the desired search criteria (1).

  • Select a ICD9 diagnosis code from the “Diagnosis” list
  • Select “From” and “To” dates
  • Select the “Refresh” button to display the results (2)

3. The results are displayed in a table with patient and diagnosis information shown in the column headings.

  • Select the “Print” button to print the results, and the “Get HL7” button to put the results into a downloadable HL7 file (3)
