VISITS

The ‘Visits’ submenu in ‘Reports’ will give us all the Visits related information of patients. See screenshot below for list of reports in this section.

Appointments

  1. In Visits submenu, choose ‘Appointments’ option (Reports > Visits > Appointments).

  2. Clicking on ‘Appointments’ option will open a tab “Report - Appointments”.

    • In this you have several options to select, but its not necessary to select all of them. You can select them according to the information you have.
    • ‘Facility’, ‘Provider’, ‘Status’, and ‘Category’ are drop down menus, select suitable input.

    • For Date provide a range in ‘From’ and ‘To’.
    • Also at the bottom there are a few check options: Show Available Times, Show Reminders, Without Provider and Without Facility. Check them according to your search criteria.
    • Once entered all the required criteria, click on ‘Submit’ button.
  3. After submitting, a page containing summary of desired visits of patients appears. The image is showing different status of all the appointments in given date range by all the providers in all the categories. Most column headers can be clicked to change sort order.

  4. Use the ‘Print’ option to print the data. Click on ‘Superbills’ to generate superbills. If you wish to get the address of patients just click on ‘Address Labels’.

Encounters

  1. In Visits submenu, choose ‘Encounters’ option (Reports > Visits > Encounters).

  2. Clicking on ‘Encounters’ option will open a tab “Report - Encounters”.

    • ‘Facility’ and ‘Provider’ are drop down menus, select suitable input. Specify the ‘From’ and ‘To’ dates.
    • To get new encounters by selected facility and given provider check ‘New’.
    • To get the patient details related to encounters check ‘Details’.
    • To get the data of Forms Esigned, Enconter Esigned and Not Esigned, check on corresponding option.
    • Once entered all the required criteria, click on ‘Submit’ button.
  3. After submitting, a page containing desired Encounters by patients as per search criteria appears. The image is showing new encounter with details. Column headers can be clicked to change sort order.

  4. Click ‘Print’ button to print the data.

Patient Billing Encounter by Carrier

  1. In Visits submenu, choose ‘Patient Billing Encounter by Carrier’ option (Reports > Visits > Patient Billing Encounter by Carrier).

  2. Clicking on ‘Patient Billing Encounter by Carrier’ option will open a tab “Report - Patient Billing Encounter by Carrier”.

    • ‘Facility’, ’Provider’, ‘Primary Insurance’ and ‘Status’ are drop down menus, select suitable input. Specify the ‘From’ and ‘To’ dates.
    • Once entered all the required criteria, click on ‘Submit’ button.
  3. After submitting, a page containing summary of desired Patient Billing Encounters as per search criteria appears. The image below is showing a detailed description of the billing encounters status by all the facilities and providers. Column headers can be clicked to change sort order.

  4. Click ‘Print’ button to print the data.

Appt-Enc (Appointments and Encounters)

  1. In Visits submenu, choose ‘Appt-Enc’ option (Reports > Visits > Appt-Enc).

  2. Clicking on ‘Appt-Enc’ option will open a tab “Report - Appointments and Encounters”.

    • In ‘Facility’ drop down menu, select suitable input. Specify the ‘From’ and ‘To’ dates.
    • Once entered all the required criteria, click on ‘Submit’ button.
  3. After submitting, a page containing information about appointments and encounters in the specified date range appears.

    • For detailed information regarding patient’s appointments select ‘Details’ option.

  4. Click ‘Print’ button to print the data.

Superbill

  1. In Visits submenu, choose ‘Superbill’ option (Reports > Visits > Superbill).

  2. Clicking on ‘Superbill’ option will open a tab “Report - Superbill”.

    • Specify the ‘From’ and ‘To’ dates. When you click on ‘Patient’ button a new tab opens. You can search patients information by entering suitable search criteria.

    • Once entered all the required criteria, click on ‘Submit’ button.
  3. After submitting, a page containing patients’s superbill appears.

  4. Click ‘Print’ button to print the data.

Eligibility

  1. In Visits submenu, choose ‘Eligibility’ option (Reports > Visits > Eligibility).

  • Please notice the red alert text warning that the practice's x12 Partner must be configured in order t create the batch, but the report may be viewed with out that.

  1. Clicking on ‘Eligibility’ option will open a tab “Report - Eligibility 270 Inquiry Batch”.

    • ‘Facility’, ‘X12 Partner’ and ’Provider’ are drop down menus, select suitable input. Specify the ‘From’ and ‘To’ dates.
    • Click ‘Refresh’ button to obtain records. Click ‘Create batch’ to create batch.
  2. After submitting, a report of Eligibility Inquiry batch appears.

Eligibility Response

  1. In Visits submenu, choose ‘Eligibility Response’ option (Reports > Visits > Eligibility Response).

  2. Clicking on ‘Eligibility Response’ option will open a tab “Report - EDI-271 File Upload”.

  3. In ‘Select EDI-271 file’ option you can upload the EDI 271 Eligibility Response file. Click on ‘Choose file’, it will allow you to upload file from the local hard drive where it has been stored.
  4. Once selected click ‘Upload’ to upload the file.

Claim Status Request

  1. In Visits submenu, choose ‘Claim Status Request’ option (Reports > Visits > Claim Status Request).

  2. Clicking on ‘Claim Status Request’ option will open a tab “Report - 276 Claim Status Request Batch”.

  • ‘Facility’, ‘X12 Partner’ and ’Provider’ are drop down menus, select suitable input. Specify the ‘From’ and ‘To’ dates.
  • Notice this report alsoo requires Clearing House (aka x12 partner) setup to generate the batch output.
  • Click ‘Refresh’ button to obtain records. Click ‘Create batch’ to create batch.
  1. After submitting, you may generate the batch or view the report.

Chart Activity

  • This report is intended for practices that use paper charts in some part of their workflow.
  1. In Visits submenu, choose ‘Chart Activity’ option (Reports > Visits >Chart Activity).

  2. Clicking on ‘Chart Activity’ option will open a tab “Report - Chart Location Activity”.

    • Enter Patient ID in ‘Patient ID’ option. Click ‘submit’ button to obtain records.
  3. After submitting, a report of Chart Location Activity for particular patient appears.

  4. Click ‘Print’ button to print the data.

Charts Out

  • Also intended for use with paper charts.
  1. In Visits submenu, choose ‘Chart Out’ option (Reports > Visits >Chart Out).

  2. Clicking on ‘Chart Out’ option will open a tab “Report - Chart Checked Out”. At present we don’t have any checked out charts to display.

Services

  1. In Visits submenu, choose ‘Services’ option (Reports > Visits >Services).

  2. Clicking on ‘Services’ option will open a tab “Report - Services by Category”.

    • Select the service for which you want to get report. Select ‘Include Uncategorized’ to include uncategorized files.
    • Click ‘Submit’ button to obtain data.
  3. After submitting, a page containing services sorted by categories appears.

  4. Click ‘Print’ button to print the report.


Syndromic Surveillance

  1. In Visits submenu, choose ‘Syndromic Surveillance’ option (Reports > Visits >Syndromic Surveillance).

  2. Clicking on ‘Syndromic Surveillance’ option will open a tab “Report - Syndromic Surveillance - Non Reported Issues”.

    • To obtain non reported issues specify date range ‘From’ and ‘To’.
    • Click ‘Refresh’ button to obtain list of issues.
  3. A report showing issues in the given date range appears.

  4. Click ‘Print’ button to print data. You can also get a HL7 file by clicking on ‘HL7’ button.
